Invoicing
Introduction:
PicassoHR send the vast majority of invoices by email. There are benefits to us both in doing this. For us it will simplify and streamline our accounts function, with many invoices and statements being generated automatically. We also save on postage and handling costs. Many companies who receive electronic invoices find that it can simplify the authorisation process.
You may have a number of questions about this and we hope to answer some of them below.
Who will invoices be sent to?
As our main contact, invoices will be sent to you. However, if you would prefer them to be sent to a different address or a number of addresses, then please let us know.
Won't people be able to edit or change the invoices?
We will be sending our invoices using the Adobe PDF format. This reduces the opportunity for modification. To read the file requires the Adobe Acrobat reader which is typically installed on machines that have internet access. The reader can be downloaded from http://www.adobe.com/products/acrobat/readermain.html if you do not already have it installed.
What if I cannot read an invoice?
Let us know and we will resend it or provide a paper copy.
Is it secure?
The Internet mail system is a store and forward system and there is no guarantee of confidentiality. If you are concerned about the possibility of an invoice being read whilst in transit between us and you then let us know and we will provide a solution.
Is there any other way we can both save money?
Yes ! Pay us via BACS. It is usually about 20p cheaper than by cheque, and you save on a stamp. Also if you are able to include our invoice number in the BACS transfer, then that helps us reconcile regular payments much more easily. Then a formal remittance advice could be substituted by an email indication your payment is on its way.
